Challenge

Parallel budget processes were overly complex and cumbersome, and relied on the use of spreadsheets and a homegrown database budget system. In addition, each educational department was centralized (for example, English, History) while Campus Life departments (Police, Counseling, and others) were not.

Result

After building on the foundation of its existing Workday Human Capital Management and Workday Financial Management data models, the university easily transitioned to Workday Adaptive Planning. Educational departments and Campus Life departments are now unified and work from the same system. The FP&A team has deployed and involved over 100 users from throughout the university in the budget cycle. Most report that the interface is easy to use, and that they now look forward to budgeting.

Excellence in Company-wide Planning

Challenge

Outdated spreadsheet-based processes couldn’t scale with this new, rapidly growing technology company. Without consistent budget and revenue planning, quarterly business reviews (QBRs) were irregular and closing the quarter took two to three months. As well, organizing sales regions and territories, quotas, and revenue reporting became nearly impossible, and forecasting demand for the substantial inventory of hardware parts remained difficult.

Result

By using Workday Adaptive Planning for financial, workforce, sales, and demand planning, Rubrik increased QBR consistency and reduced time-to-close by 75 percent. Now, Sales uses Workday Adaptive Planning to create territories that align with planned capacity and assigned quotas. And newly automated inventory management is more in line with customer demand.

Professional services company that helps organizations build remote engineering teams quickly.

Challenge

Complex spreadsheets shared among different countries and time zones resulted in long queues as managers had to take turns entering numbers. The process of pulling in actuals took one week, with an error-prone and cumbersome reconciliation.

Result

Multiple team members across the world can now make updates concurrently—reducing reporting cycle times—from two weeks to two days—and actual data pulls now taking only 10 minutes. In addition, self-service reporting gives business leaders the data they need to make timely decisions. And in FY20, the planning cycle took three weeks.
